When you respond to a request, your documents and answers go to the customer who asked for them. Certivo handles them under the same policies as everything else on its platform. This page summarizes what that means for you and links to the full documents.
Who can see what you upload
- The customer who sent the request. Your uploads and answers are stored in that customer's Certivo workspace, where their compliance team can see them and reviews each uploaded document.
- People at your own company who have access to the portal. Anyone who can sign in to the same request link sees the same requests, saved drafts and uploaded documents. See Sign in and give colleagues access.
- Other Certivo customers cannot see them. If you supply two unrelated companies that both use Certivo, each one sees only what you sent to them, and you respond to each separately.
This covers what you send through the portal or by email. Documents your company publishes openly, for example on its website, are public and are not covered by it.
There is one exception. If your customer belongs to a corporate group whose companies use Certivo together, company-level evidence you submit, such as a certificate or questionnaire answers that cover your whole company, can be made available to the other companies in that group that also buy from you. They can read it but cannot change it. Documents and answers about specific parts or products are not shared this way.
Your customer controls the information
Certivo processes what you submit on behalf of the customer who requested it, and that customer controls it. If you want a document removed or corrected, or want to know how long it is kept, ask that customer.
You cannot delete a document from the portal. To replace one, upload the new version.
How it is protected
- The link in the request email does not open the portal by itself. You must sign in with an email address the portal recognizes for your company.
- Certivo encrypts data in transit and at rest.
- Certivo's services are hosted in the United States.
What Certivo does with a document
- Your customer reviews the upload and accepts or rejects it.
- Once it is accepted, Certivo's AI compliance assistant, CORA, reads the document and picks out the compliance information in it.
- That information is checked, then used to update the status of your parts with that customer.
You can follow these steps on the Your Documents tab. See What happens after you respond.
Documents you send by email
If you reply to a request email with attachments, the reply is delivered to your customer's Certivo workspace. Your customer reviews each attachment before it is used.
